Summary:   Responsible for Company’s credit management program by ensuring that credit policies are adhered to, credit goals are achieved and accurate business records are maintained. Responsibilities involve credit application processing, the credit policy, acceptable levels of risk, terms of payment, debt collection, reporting and profitability. Subject Matter Expert for conducting credit investigations and collecting on delinquent customer accounts using highest level of professionalism.

Responsibilities

Essential Duties and Responsibilities include those listed below. Other duties may be assigned. This position is a full time (minimum 40 hours per week) on-site position.

 

Credit Accounts

  • Responsible for investigating and verifying financial status and reputation of prospective customers applying for credit, preparing documents to substantiate findings, and recommending rejection or approval of applications.
  • Establishes credit limitations on customer accounts and handles special credit arrangements and deviations from standard terms of payment.
  • Responsible for investigation of fraud cases and possible legal action and collection for worthless checks and delinquent bills.
  • Establishes and updates customers' credit activities and files.
  • Reviews collection reports to ascertain status of collections and balances outstanding and to evaluate effectiveness of current collection policies and procedures.
  • Assists management in the formulation of credit policies.

 

  • Cash Functions
  • Controls cash flow through Chicago lockbox via the Automated Clearing House (ACH) to corporate headquarters.
  • Directs the posting of all cash receipts to accounts receivables.
  • Resolves payment disputes with customers.
  • Prepares daily cash flow report.

Collections

  • Contacts delinquent accounts by email or in writing.
  • Works closely with the sales department on back charges or deductions, which may hold up payments.
  • Asserts bond and lien rights when appropriate.
  • Submits delinquent accounts to attorney or outside agency for collection.
  • Audits delinquent accounts considered to be uncollectible to ensure maximum efforts have been taken before assigning bad debt status to account.

 

Other Approvals

  • Documents and verifies all job and security information.
  • Conducts daily approval or credit hold of all orders prior to loading and shipment of product.

 

  • Accounting Functions
  • Prepares and distributes month-end and year-end corporate reports.

  • Prepares and distributes all functions of the Credit department for the annual audit.

Prepares forecast/budget reports.

  • Miscellaneous Functions 
  • Holds monthly meetings to update management on credit issues.
  • Gathers and organizes files for litigation purposes. Establishes and maintains a permanent and secure record retention site.
  • Keeps supervisor informed of problems as they arise.
  • Fosters positive work relationships.
  • Works in a safe manner and complies with all Company policies, procedures and practices.

Qualifications

Supervisory Responsibilities: This job has limited supervisory responsibilities; oversees the work of an accountant who functions as a credit assistant on a part time basis.

 

Minimum Requirements: Bachelor’s in Accounting, Finance or Business; 5 years of experience and proficiency in Microsoft Office Programs.
